How-to Guide

Step-by-step instructions for the most common actions on TheWorkoutBox.

Create a Squad All levels

Squads are peer groups — anyone can create one and share the join code with friends. Members join voluntarily; there is no coach or manager.

  1. Go to Squad in the navigation bar.
  2. Click Create Squad.
  3. Enter a squad name and optional description, then click Save.
  4. A unique join code is generated. Share it with the people you want to invite.
  5. Members go to Squad → Join a squad, enter the code, and they appear in your squad list immediately.
Tip: You can share training plans with a squad — they will appear in the Training section for all squad members.
Create a Team Coach Gym

Teams are coach-managed groups. You invite members by email; they accept and join. Requires a Coach or Gym subscription.

  1. Go to Team in the navigation bar.
  2. Click Create Team, enter a name and optional description.
  3. Click Invite Members, enter the email address of the person you want to add, and send the invitation.
  4. The invited user receives an email with a link to accept. Once accepted they appear in your team roster.
  5. From the team page you can share training plans and templates directly with the whole team.
Limits: Coach accounts can manage up to 3 teams. Gym accounts have unlimited teams. See the Plans page for details.
Workouts & Visibility

Workouts are standalone training pieces (e.g. a WOD, a strength session, a conditioning block). You can create them in the Workouts library and reuse them across plans and sessions.

Creating a workout
  1. Go to Workouts and click + Create.
  2. Choose a type (Strength, WOD, Conditioning…) and a format (For Time, AMRAP, EMOM…).
  3. Add exercises, set reps/weight/distance as needed.
  4. Set the visibility (see below) and save.
Visibility levels

Workout visibility controls who can find and browse the workout in the workout library. It does not affect plan access — users who follow or purchase a plan can always see the full workout content within sessions, regardless of workout visibility.

Tip for coaches & gyms: Keep your workouts Private to protect your programming. When you add them to a paid or shared plan, followers and buyers will see the full workout details within the plan sessions — but any other user won't be able to find or copy them from the workout library.
Scores & Visibility

When you log a score for a workout, you choose who can see it. Score visibility is independent of the workout's visibility.

Tip: You can change the visibility of a score at any time by editing it from the score page.
Note: If you set a score to shared or public on a private workout, the workout visibility will automatically be updated to match. A warning is displayed before saving so you can confirm.
Create a Plan or Template

A Plan has fixed dates (scheduled calendar). A Template is week-based with no fixed dates — useful for reusable programmes. Both can be private, shared, public, or paid.

Private plan / template All levels
  1. Go to Training.
  2. Click the Add plan button (top right of the plan selector).
  3. Enter a name and optional description.
  4. Check Template plan if you want a week-based programme instead of a dated calendar.
  5. Set Visibility to Private — Only me.
  6. Click Save. The plan appears in your plan list and is visible only to you.
Shared plan / template Athlete Coach Gym
  1. Follow steps 1–4 above.
  2. Set Visibility to Shared — With selected team(s) or squad(s).
  3. A team and squad picker appears. Select the teams and/or squads you want to share with.
  4. Click Save. All members of the selected teams/squads can now see and follow the plan in their Training section.
Tip: You can update the shared teams/squads at any time by editing the plan.
Public plan / template Coach Gym
  1. Follow steps 1–4 for creating a plan.
  2. Set Visibility to Public — Everyone.
  3. Click Save. The plan appears on the Discover page and anyone can follow or duplicate it.
Public plans require a Coach or Gym subscription.
Paid plan / template Gym only

Paid plans let you charge athletes for access — one-time payment or monthly subscription. Payments are processed via Stripe Connect; you must connect a Stripe account first.

  1. Connect your Stripe account: go to Account, find the Payment Account section, and click Connect with Stripe. Complete the Stripe onboarding flow.
  2. Go to Training and create or edit a plan.
  3. In the plan form, find the Paid plan toggle (visible to Gym accounts only) and enable it.
  4. Enter a price, select the currency, and choose the billing type: One-time or Monthly subscription.
  5. Click Save. The plan is published to the Marketplace where athletes can purchase it.
Unpublishing: You can unpublish a paid plan at any time by editing it and clicking Unpublish. Existing buyers keep access until the end of their billing period. While buyers still have active access the plan is locked for editing — use Duplicate to create an editable copy.
Responsibility: As a plan creator you are solely responsible for content quality and handling any refund requests from buyers. See our Terms of Service for full details.
Create a Landing Page (optional) Gym

You can create a public landing page to present your plan or template. This is a shareable link you can use to advertise your plan on social media, your website, or anywhere else.

  1. Select your plan in Training.
  2. Click the Landing page button in the plan actions bar.
  3. Fill in the sections: contact email, logo, tagline, description, features, sample content, preview image, and coaches.
  4. Click Save. A public URL is generated that you can share with anyone.
  5. Visitors can view the page without logging in. For paid plans, a Buy / Subscribe button lets them purchase directly. For free plans, a Follow button is shown.
Tip: The landing page link also appears as a View button on the Discover page, making your plan more attractive to potential followers or buyers.
Add a Session to a Plan Athlete Coach Gym

Sessions are the individual training days inside a plan. Each session can contain one or more workout blocks.

  1. Go to Training and select your plan from the dropdown.
  2. Click the + Session button (top-right of the plan view, or the button next to a specific date in the calendar).
  3. You are taken to the session builder. Enter a session name and optional notes.
  4. Click Add Block to add a workout block (e.g. Strength, WOD, Conditioning…). For each block you can set the type, format, rounds, time cap, and add individual exercises.
  5. For each exercise entry, search for a movement by name, then configure reps, weight, distance, time, pace, or calories as needed.
  6. Use the ↑ ↓ arrows to reorder blocks or entries.
  7. Click Save Session when done. The session appears on the plan calendar or week view.
Tip: You can edit or delete a session by opening it from the calendar and using the edit controls at the top of the session detail page.
Add a Session to a Template Athlete Coach Gym

Template sessions are organised by week number and day (e.g. Week 1 / Monday) rather than fixed calendar dates.

  1. Go to Training and select your template from the dropdown.
  2. Click Add Session (shown at the top of the template view).
  3. In the session builder, set the week number and day label (e.g. Monday or Day 1) to position the session in the programme.
  4. Add blocks and exercises exactly as you would for a plan session (see above).
  5. Click Save Session. It appears under the correct week in the template view.
  6. Other users who follow your template can click Import on any session to copy it into one of their own plans on a specific date.
Tip: Use the Duplicate plan button to copy a finished template as a starting point for a new programme.
